Position Summary
The Administrative Assistant is responsible for front-line reception duties and a wide range of administrative and financial support tasks. This includes handling customer payments, managing invoicing and portal accounts, processing credits, balancing cash sheets, and supporting the credit department. The role also involves coordinating internal calendars, preparing reports, and maintaining customer account records across both branches.
Key Responsibilities
Reception & Customer Service
- Reception coverage and front desk duties
- Handling payments at counter/window
- Responding to customer service inquiries and complaints
- Releasing customer orders
- Managing “portal” customer invoicing and account activity
- Setting up and maintaining customer accounts
Financial & Credit Department Support
- Accounts receivable and collections calls
- Processing credits and debits
- Balancing daily cash sheets (both branches)
- Preparing cash deposits
- Application of funds (back-up)
- Invoicing (primary and back-up)
- Month-end processing (back-up)
- Preparing various reports for the credit department
Administrative Duties
- Answering phones, filing, handling incoming/outgoing mail
- Ordering office supplies and coordinating equipment maintenance
- Preparing outgoing correspondence (mail, email, fax)
- Creating and maintaining spreadsheets
- Preparing hire packages for payroll
- Preparing promotional packages
- Organizing conferences and meetings (catering, room bookings)
- Preparing and distributing meeting minutes
- Managing the Electrozad vacation calendar
- Liaising with customers and clients
- Performing other duties as required
Travel & Expense Coordination
- Coordinating travel arrangements for the Branch Manager and others
- Preparing expense reports
Inventory & Promotional Incentives
- Assisting with inventory control for promotional incentives
- Processing reel returns and maintenance
Qualifications: Education & Experience
- High School Diploma required
- Up to one year of related experience
Physical Skill & Effort
- Requires sitting, standing, walking
- Reading work-related materials
- May require considerable visual attention and attention to detail
