A career at Old Course Hotel, what’s not to love? *All benefits subject to availability About the Role Our Front of House Team are the stars of our resort who warmly welcome our guests and are their point of contact throughout their stay with us. We have a new and exciting opportunity for a Assistant Head Concierge to join our team, on a permanent full-time basis of 40 hours per week. You will support our team in providing excellent customer service, ensuring all guests have a memorable and magical stay. Duties and Responsibilities Old Course Hotel Arrival Responsibilities · Greet guests with “sense of arrival” by using proper greeting and last name. · Ensure that guests are met before walking into the hotel lobby.· Ensure guests are introduced to the Receptionists. · Upon identification of guest and room number, analyze the logistics and the most efficient procedures of bringing luggage to guest’s room. · Ensure that once in the guest’s room, hang any garments in the closet and explain the closet amenities and place any luggage on a luggage rack.Proceed to explain the guest directory, TV, bathroom fixtures, lighting, fire exits, and retrieve ice if requested. · Park guest’s vehicle if requested or give directions to our parking areas. · Assist Reception Team with check-ins when required ensuring all procedures are followed.Refer to the Receptionist job description. · Perform Doorman duties as required by the business. Old Course Hotel Departure Responsibilities · Promptly and courteously greet guests with the proper greeting and use their last name. · Remove luggage from guest’s room and bring it to the appropriate area, lobby, parking area, store in storage closet, or load into guest’s vehicle. · Retrieve vehicle when requested. · Assist Reception Team with check outs when required ensuring all procedures are followed. · Perform Doorman duties as required by the business. Message and Delivery Responsibilities · Deliver messages from Front Desk or Concierge to guests. · Deliver newspapers to guest’s room upon request. · Deliver amenities or a package to guest’s room. · Any other miscellaneous deliveries required by guests or hotel staff. Work Area Responsibilities · Maintain a clean work area, including Library, Business Centers, Entire Lobby, Concierge Desk, and storage closet.Furniture should be arranged properly, and debris should be picked up continuously. · Be aware of the outside facilities and make sure to maintain a clean front entrance. · Doorways and outlying areas swept daily. · Outside ashtrays and bins are emptied when full · Clean any handprints or dirt on the windows. · The door and walkway are properly lit. Information Responsibilities · Maintain a working knowledge of all in-house facilities and hours of operation, as well as daily activities and area attractions.Have a working knowledge of all Old Course Hotel facilities, including Kohler Waters Spa, golf courses and Dukes.Also have a general knowledge of the history of Kohler Company, St Andrews, and The Old Course Hotel. · Promote all hotel restaurants and special daily promotions. · Make reservations for guests – Kohler Water Spa, Dining (on and off property), outdoor activities, transportation arrangements. · Liaise with 4th Floor team to ensure guests arriving on property for drinks/lunch/dinner can be accommodated prior to them entering the building. · Maintain all safety and emergency procedures. · Follow Old Course Hotel policies and procedures. · Maintain knowledge of times and places of daily functions and events. · Inform other shifts of daily activities using the logbook or notes. · Inform Head Concierge or other hotel managers of any problems or unusual circumstances. · Provide directions and maps, including walking/jogging trails. Also, provide guests with weather and road conditions. Transportation Responsibilities · Assist guests with transportation requirements, taxi, chauffeur, bus, helicopter and private jet arrangements. Charge the cost of the transportation accordingly, in a timely matter, to guest’s room or house account before check-out of the guests. · Monitor all company vehicles, ensuring systems and processes are followed by staff. · Allocate transfers to in-house chauffeurs or external companies prioritizing in-house chauffeurs. · Valet Park vehicles. · Transport guests to and from Leuchars Airbase · Carry out any Leuchars-related tasks as required. Additional Responsibilities · Training new associates, creating SOPs. · Maintaining existing and creating new relations with hotel vendors. · Evaluate all Front Office Concierge to ensure that all policies and procedures are followed. · Conduct daily briefings to inform all Front Office Concierge of business updates as required. · Ensure all guest emails are responded to in a timely manner (within the same day) and handover any outstanding tasks to Head Concierge at the end of the shift. · Raise Purchase Orders, create a working schedule for the concierge department, manage Quinyx in the absence of Head Concierge. · Attend HOD and OPS meetings in the absence of Head Concierge. · Ensure regular stock takes of all operating equipment and all ordering of such stock. · Ensure the company training and standards are met and that all concierge staff attend and are nominated for such. · Supervise the daily operations of the Concierge Department, concierges, porters, doorman and chauffeurs and report to Head Concierge About You You will be an enthusiastic, well presented, friendly and confident individual who has excellent interpersonal and organisational skills with a flexible approach. You will enjoy working as part of a team but can also work independently, following evening work plans. Ideally, you will behave previous service experience within hospitality though not essential and have a full clean Driving License. Salary This is a permanent contract working 40 hours per week across 5 days out of 7 including weekend work.
